Terms and Conditions of Participation Workshop – 27–29 May 2026, Portici (NA), Italy

Organizer: University of Naples Federico II – Department of Agricultural Sciences

1. Scope and Applicability

These Terms and Conditions govern participation in the workshop held from 27 to 29 May 2026 in Portici (NA), Italy.
Submitting the registration form implies full acceptance of these Terms and Conditions.

2. Registration and Payment

2.1 Participation Fee
The participation fee is €300.00.

2.2 Payment Methods
Payment may be made via:
● credit/debit card
● bank transfer according to the instructions provided by the Organizer

2.3 Registration Confirmation
Registration is considered complete only upon receipt of payment by the Organizer.
Without payment, the registration will not be considered valid.

The Organizer reserves the right to:
● close registrations early once the maximum number of participants is reached;
● reject incomplete or irregular applications.

3. Refund Policy, Prepaid Costs, and Cancellations

3.1 Prepaid Organizational Costs
The Organizer incurs non-recoverable upfront costs for the event, including (but not limited to): venue bookings, transportation, catering, printed materials, web platform services, technical suppliers, and logistical support.

3.2 Refund Policy
If a participant withdraws, the following conditions apply:
● Cancellation by 31 March: 100% refund of the fee paid, excluding any bank or payment processing fees.
● Cancellation between 1 April and 30 April: 50% refund of the fee paid, to partially cover costs already incurred.
● Cancellation after 30 April: no refund, as all organizational costs will already have been committed.

Refund requests must be submitted in writing to the email address provided by the Organizer.
Failure to attend without notice does not entitle the participant to any refund.

3.3 Event Cancellation by the Organizer
If the event is canceled or postponed due to force majeure or circumstances beyond the Organizer’s control, the participation fee will be fully refunded.
No reimbursement will be provided for travel, accommodation, or any other personal expenses incurred by participants.

4. Participant Substitution

Participant substitution is allowed up to 7 days before the event, upon written notice including full details of the substitute.

5. Participation Requirements

No specific requirements apply, except valid registration and compliance with applicable rules and regulations during the event.

6. Personal Data Processing

Personal data provided by participants will be processed solely for purposes related to event management.
Processing complies with Regulation (EU) 2016/679 (GDPR).
Data will not be shared with third parties except where required by law or strictly necessary for the provision of event services.

7. Intellectual Property

All materials provided remain the property of the Organizer or their respective authors.
Any reproduction, distribution, or disclosure without written permission is prohibited.

8. Limitation of Liability

The Organizer shall not be liable for:
● indirect economic losses
● external service disruptions
● loss or damage to personal belongings
● expenses independently incurred by participants

Liability is excluded except in cases of willful misconduct or gross negligence.

9. Governing Law and Jurisdiction

These Terms and Conditions are governed by Italian law.
Any disputes will be subject to the jurisdiction established by applicable legislation.
